Using Request Recipes to Create Inventory Requests
We know that things can get kind of crazy in the field and you might not always have time to enter all of your data, such as inventory requests - but getting that inventory on time matters! We also know that you may end up making inventory requests for the same items repeatedly for a given surgeon - so we created Request Recipes to make the process easier.
Creating Request Recipes
Navigate to the Inventory → Request Recipes section in the Console
Click “+ Create New”
Enter the relevant info for the following field:
Recipe Name
Physician
Procedure
Recipe Notes
Click Next
In the Associated Inventory Section click “Add New”
Select the Manufacturer for the devices you are requesting (a recipe may only contain items from one manufacturer)
Select whether you are adding a complete set or individual devices
Select the product line and catalog number you’d like to add.
Then enter the quantity being requested and click “Create”
Repeat the steps for adding additional devices to the recipe
Alternatively, if this is not a brand new request recipe, but you’d rather build on a previously created recipe you can click on the Copy button on a Recipe in the Recipes list to duplicate it and modify it to meet your needs.
Note on Selecting Inventory: Currently, when selecting a complete set, you select based on Product Line. We understand that some trays from a product line may have different designations or purposes and that you’d like to request a specific tray from a product line. For instance, an instrument tray as opposed to an implant tray. In the status quo, you’d need to create a different product line for these distinctions. So in the instance mentioned above, you’d end up with one product line “Product A Implant Set” and a product line “Product A Instrument Set” with the corresponding devices assigned to those product lines.
If you are an Admin creating Recipes for Sales Users, you need to assign them:
Next, navigate to the Users section.
Identify the user who will be using this recipe and click into their detail screen.
At the bottom in the “Assign Recipes” section, select the recipe that was just created.
Finally, Create a Request using a Recipe
In the request workflow:
Navigate to the Movements → Request Section and click the “New Request” button
Select the user which is requesting inventory.
If you’re requesting inventory for yourself your username will be selected
If you are requesting inventory on behalf of another user, select that user
Next select the manufacturer
Next select the request recipe you’d like to use
NOTE: The request must be assigned to the user selected in step 2
Click next
The inventory from the recipe will already be selected. Select any additional inventory to add to the request and remove any items from the recipe that are not necessary.
Complete the rest of the request as necessary by entering:
Associated Event
Notes
Need by Date
Saturday delivery
Notes
Ship-to-address
Click “Create”.
From the Event Screen:
Now that the Recipes are created and assigned to users they’ll be able to create inventory requests, associated with an event, for those recipes.
Using the console, the sales user (or admin) will find the Open Event they are requesting inventory for
They will click into the Event detail screen
Next, select Create Request from the drop down that appears.
Note: The Physician and Procedure must match the Request Recipe to use this feature.
The user on the request will be the user assigned to that event.
Next select the manufacturer
Next select the request recipe you’d like to use
NOTE: The request must be assigned to the user selected in step 2
Click next
The inventory from the recipe will already be selected. Select any additional inventory to add to the request
Complete the rest of the request as necessary by entering:
Associated Event
Notes
Need by Date
Saturday delivery
Notes
Ship-to-address
Click “Create”.
The inventory request will be created and will be associated with that Event for later reference.
Deactivate a request recipe
To deactivate a recipe, locate that location in the Recipes screen, and click on it to open it. In its detail screen click on the deactivate button in the upper right hand corner.
